An RMA is the process for returning failed hardware, and the operational reality is that the paperwork takes longer than the fault. Identifying the failure is minutes; obtaining an authorization number, arranging shipment, waiting for the replacement and installing it is days to weeks depending on contract and geography.
That gap is what spares inventory exists to close, and the calculation is straightforward: the cost of holding a spare against the cost of the outage its absence extends. Contracts express it as response time, and the figure worth reading is what the response actually commits to, since next business day means a part dispatched rather than a system restored. In distant locations the shipping time dominates every other term, which is why a support agreement written for one country reads very differently in another.
